Booking & Service Terms (Phone, WhatsApp & Remote Bookings)

These Booking & Service Terms apply to all services arranged with Vertex Recovery Services via phone, WhatsApp, SMS, email, or any remote communication.

By requesting, confirming, or paying for a service through these channels, you agree to these terms together with our Terms & Conditions and Privacy Policy.

1. Booking Confirmation

​

1.1 A booking is only considered confirmed when:

​

  • We have agreed the service and price, and

  • Full payment has been received, and

  • The job has been scheduled or dispatched.

​

1.2 Confirmation given by WhatsApp message, phone call, SMS, email, or bank/card payment is legally valid confirmation of the booking.

​

 

2. Information You Must Provide

​

To provide the correct service and price, you must give accurate details including:

​

  • Full name and contact number

  • Vehicle make, model, and registration

  • Exact pickup location and access details

  • Drop-off location (if applicable)

  • Vehicle condition (running, non-running, accident damage, locked wheels, etc.)

  • Any special risks or requirements

​

Providing incorrect or incomplete information may result in:

​

  • Additional charges

  • Delay or refusal of service

  • Cancellation without refund

​

 

3. Quotes and Pricing

​

3.1 Quotes given by phone or WhatsApp are based solely on the information you provide.

​

3.2 Prices may change if:

​

  • Vehicle condition differs from description

  • Access is restricted or unsafe

  • Extra equipment or labour is required

  • Waiting time occurs

  • Collection or delivery details change

​

3.3 Any revised charge will be explained before continuing where reasonably possible.

​

 

4. Call-Out and Attendance Charges

​

4.1 Once a driver is dispatched or travelling, a call-out fee automatically applies.

 

4.2 Call-out charges cover time, fuel, staffing, and operational costs and are non-refundable.

 

 

5. Payment Terms

​

5.1 Full payment is required upfront to secure any booking unless we agree otherwise in writing.

 

5.2 We accept:

​

  • Card payment

  • Bank transfer

​

5.3 Failure or refusal to pay may result in:

​

  • Service cancellation or stoppage

  • Refusal to unload or deliver the vehicle

  • Vehicle retention until payment is received, where legally permitted

​

 

6. Cancellations and No-Shows

​​

6.1 Cancellation before dispatch may avoid charges at our discretion.

​

6.2 Cancellation after dispatch or arrival will result in a call-out or cancellation charge.

 

6.3 A no-show charge applies if:

​

  • You are not present

  • The vehicle cannot be accessed

  • Keys are unavailable without prior agreement

  • Details provided are incorrect

​

In these situations, payment remains due and non-refundable.

​

7. Vehicle Access and Safety

​

You must ensure:

​

  • Safe and legal access for loading/unloading

  • The area is suitable for recovery vehicles

  • Any hazards are disclosed in advance

​

We are not responsible for delays, failed collections, or extra costs caused by unsafe access or missing information.

​

8. Personal Belongings

​

  • You are responsible for removing valuables and personal items.

  • We are not liable for loss or damage to items left in the vehicle.

​

9. Delays and Uncontrollable Events

​

Arrival and delivery times are estimates only.

We are not liable for delays caused by:

​

  • Traffic

  • Weather

  • Road incidents or closures

  • Mechanical issues

  • Previous jobs running over

  • Any event outside our control

​

10. Subcontract Drivers

​​

10.1 We may use trusted independent subcontract drivers to carry out services.

 

10.2 Subcontractors operate as independent contractors responsible for performing services with reasonable care and skill.

 

10.3 Where loss or damage is caused directly by a subcontractor, any related claim may be handled with the subcontractor and/or their insurer, subject to UK law.

 

10.4 Nothing in this section limits liability that cannot legally be excluded.

11. Acceptance of Terms

By:

​

  • Confirming via WhatsApp, phone, or message

  • Making payment

  • Allowing the service to proceed

 

you confirm that:

​

  • You have read and accepted these Booking & Service Terms

  • You authorise Vertex Recovery Services to carry out the work

  • You agree to the quoted or adjusted price

 

These actions form a legally binding agreement.
